NEWBERRY STATION HOMEOWNERS ASSOCIATION

Board of Directors Meeting – August 1, 2002

               

Call to order.

·              The meeting was called to order at 7:21 p.m.

·              Attendees:  Lars Sweigart, Brandon Farlander, Marsha Cobbs Johnson, Laura Newberry, Robert Loar and Bob Mikulski.

·              The June minutes – Mr. Brandon Farlander made the motion to approve the minutes with corrections.  Mr. Lars Sweigart seconded the motion and the Board approved by unanimous vote.

 

Reports from Committees

 

AECC – Sean Carey and John Oktavec gave no report

 

·             Mr. Paul Bohna has requested to be removed from the AECC Board.               

·             The AECC committee will update the home color chart for the community so it will be current.

·              The AECC will document on the existing color scheme for the clubhouse.  Genus will get bids to paint and repair the clubhouse exterior.

·              The board has received an updated spreadsheet of violations.

           

 

Building & Grounds – Vacant

Action Items

·              Genus will contact Cox Cable to bury cables severed and repaired during landscaping behind the model row; 6940 Hamilton Ct.; 8218 Stationhouse Ct.; and several other areas.  Genus will also investigate a cable which is installed outside the fence of  8218 Stationhouse Ct.

·              Estimate received for $3500 for crack repairs in concrete walks and a cutout for handicap access at the corner of lower Stationhouse Ct and Hamilton Ct. Waiting for additional estimates.

·                  The rail ties supporting the retaining wall and several fence posts in the common area are rotting near the Raceway development.  Genus will get contractor estimate.

·                 Light at guest parking is out, previously fixed.  Genus will get contractor to correct.

·                 The tree that fell on our property from a house on Raceway Farms was cleared however the owner in Raceway Farms should assume the costs associated with the tree cleanup.  Genus will look into this.

 Genus will create a list of trees in the common area that need pruning.

·                  Genus will create a list of asphalt repair that needs to be completed this month.

·                 Genus will have those areas on railing in the common areas painted.

·             Genus will investigate the missing swing in the upper playground for replacement.

·             Genus will replace the stop sign removed from Hamilton and Stationhouse and the street sign on Hamilton and Stationhouse.

·             Genus will remove the dead tree at the corner of 8340 Stationhouse.

·             Motion proposed by Ms. Laura Newberry to select Dominion Paving for crack/seal work on asphalt surfaces in the development for a cost of $1,625.  Seconded by Mr. Robert Loar.

·             Motion proposed by Mr. Lars Sweigart to have the bus stop painted not to exceed $400 plus materials.  Ms. Laura Newberry seconded.

·             Water main leak was permanently repaired on August 1st.

·              Homeowner concerned about difficulty entering the development from Newington with parked cars close to the entrance.  The board will consider extending the yellow curb to remedy this.

·             Rotten fence post at the end of trestle at  the culvert.  Genus will investigate replacement.

·             Three stop signs at Trestle and Hamilton will be ordered by Genus.

 

Pool

Action Items

·              Genus will provide a response from our insurance company concerning the liability of serving alcohol at the clubhouse.  This item has gone to the lawyer for review.  The rental agreement will need to be changed.

·                 Genus will get extra keys for renting the clubhouse.

·             A homeowner committee has been formed to discuss concerns of the homeowners with the pool lifeguard company.  Ms Laura Newberry will head the committee.

·             Pool leak has been mostly repaired.

·             Trip hazard in the area of the former diving board requires removal.  Presently covered with a cone.

·             Ms Newberry discussed the cleanliness of the pool area with the lifeguards.  Lifeguards are authorized to call the police if vandalism occurs or is occurring.  Pool remains closed for the 45 minutes after a storm.  Then reopens.  Lifeguards are responsible for cleaning pool stalls and bathrooms.

     

New Townhouse Development Shannon’s Landing

                                Laing property has been bought out by Richmond America.

 

New Business and Other Items

·              Financial Report – No additions.

·              Resident Owners vs. Investor Units – Management Company reported that as of July 31, 2002 we had 30 investor units. 

·             A motion was proposed to hire Mason and Mason,           to conduct a reserve study for the Homeowner’s Association by Ms Laura Newberry, seconded by Mr. Brandon Farlander.

                The meeting was adjourned at 9:33 p.m.  The next meeting will be held on September 5, 2002, 7:00 p.m. in the clubhouse.
