Board of Directors Meeting – September 5, 2002

               

Call to order.

·              The meeting was called to order at 7:18 p.m.

·              Attendees:  Lars Sweigart, Brandon Farlander, Laura Newberry, Robert Loar, Marsha Cobbs-Johnson and Bob Mikulski.

·              The August minutes – Mr. Brandon Farlander made the motion to approve the minutes.  Mr. Loar seconded the motion and the Board approved by unanimous vote.

 

Open forum

·            Homeowner stated there is a problem with bees at Ona and Hamilton.  This is where the bus now stops to pick up passengers for school.

· Homeowner complained about bushes overhanging the sidewalk.  If the property is common area, then the work will be done.  If the area belongs to a resident they will be informed.

·            The residence inspection form needs a change to reflect if a resident wishes to have a hearing.

           

 

Reports from Committees

 

AECC –John Oktavec gave no report

 

·             The AECC committee will update the home color chart for the community so it will be current.  Mr Mikulski will email the excel file of individual house colors to Mr Oktravecwho will then do a house by house check to compare the existing colors to the original color scheme.

·             Request for extension for inspection deficiency was denied.

·              The AECC will document on the existing color scheme for the clubhouse.  Genus will get bids to paint and repair the clubhouse exterior.

·              The board has received an updated spreadsheet of violations.

·             Status of the regulations review:  Those persons who volunteered at the last annual meeting should be provided a copy of the regulations to review.  Mr. Thomas Little volunteered to be on the committee.

           

 

Building & Grounds – Vacant

Action Items

·              Genus will contact Cox Cable to bury cables and phone lines severed and repaired during landscaping behind the model row; 6940 Hamilton Ct.; 8218 Stationhouse Ct.; and several other areas.  Genus will also investigate a cable which is installed outside the fence of  8218 Stationhouse Ct.

·              Estimate received for $3500 for crack repairs in concrete walks and a cutout for handicap access at the corner of lower Stationhouse Ct and Hamilton Ct. Waiting for additional estimates.

·                  The rail ties supporting the retaining wall and several fence posts in the common area are rotting near the Raceway development.  Genus will get contractor estimate.

·                 Light at guest parking is out, previously fixed.  Genus will get contractor to correct. The ballast was replaced in the light.

·                 The tree that fell on our property from a house on Raceway Farms was cleared however the owner in Raceway Farms should assume the costs associated with the tree cleanup.  Genus will look into this and report to the board at the October meeting.

·                 Genus will create a list of asphalt repair that needs to be completed this month.  Additionally, Genus will place a sign at the entrance with the estimated time that the asphalt repair will be done.  This is to better prepare homeowners for disruptions in parking.

·                 Genus will investigate the missing swing in the upper playground for replacement and report to the board at the October meeting.

·             Genus will replace the stop sign removed from Hamilton and Stationhouse and the street sign on Hamilton and Stationhouse.

·             Genus will create a list of trees requiring removal and will contract for the removal.  This is to include the dead tree at the corner of 8340 Stationhouse.

·             Water main leak was permanently repaired on August 1st however the county has not cleaned the mud.

·             The board recommends extending the yellow curb to remedy the difficulty entering the development from Newington road.  Parked cars close to the entrance cause the difficulty. The amount of curb to be painted is approximately three car lengths.

·             The bulletin board needs to be updated.  A realtor’s box should be placed to contain copies of the latest meeting minutes.

·             The lights around the clubhouse need to be placed on a photocell to eliminate the need for continuous resetting of the timer.

·             Light at Hamilton and Ona needs to be checked.  Not working.

·             Three stop signs at Trestle and Hamilton ordered by Genus have been received and will be placed.

 

 

               

Pool

Action Items

·              Genus will provide a response from our insurance company concerning the liability of serving alcohol at the clubhouse.  This item has gone to the lawyer for review.  The rental agreement will need to be changed.

·                 Genus will have the clubhouse locks checked by a locksmith for proper function.

·             A homeowner committee has been formed to discuss concerns of the homeowners with the pool lifeguard company.  Ms Laura Newberry is the committee chairperson.  The pool people were not responsive to our neds this year and the lifeguards were less than adequate.  This committee will explore ways to improve the quality of the pool company’s performance before next season.  Genus will set up a meeting with the pool company.  Ms Newberry will attend.

·             The lights at the deep end are not working.

·             Genus will investigate whether a residential phone / business phone can be place in the pool house instead of the expensive pay phone now located there.

·             Motion was made to retain LCB, Inc., for snow removal by Mr. Farlander and seconded by Ms Cobbs Johnson.

·             Pool leak has been mostly repaired, but not completely.

·             Trip hazard in the area of the former diving board requires removal.  Presently covered with a cone.  The company has been paid for this work already.

           

New Townhouse Development Shannon’s Landing

                                Laing property has been bought out by Richmond America.

 

New Business and Other Items

·              Financial Report – No additions.

·              Resident Owners vs. Investor Units – Management Company reported that as of August 31, 2002 we had 30 investor units.
