Board of Directors Meeting – July 2, 2003

 

*****   BOARD MEETINGS ARE NOW HELD ON THE FIRST WEDNESDAY OF THE MONTH *****

 

Call to order.

·              The meeting was called to order at 7:05 p.m.

·              Attendees:  Laura Newberry, April Scherer, Brandon Farlander, and Dawn-Lynn Crawford.

·              The June minutes were reviewed and corrections made  – Ms. Laura Newberry made the motion to approve the minutes.  Ms. April Scherer seconded the motion and the Board approved by unanimous vote.

· 

Open Forum

 

 

·                A homeowner asked whether or not we get charged more if there is excess trash.  Dawn-Lynn Crawford said that we do not get charged more.  It is a set fee.

·                Anna ………, of ………Hamilton Ct would like to donate a tree.  The matter was discussed with the AECC present.  It was decided that a good place for it would be in the lower playground, on the opposite side of the path from the swing set.  April Scherer will inform Anna ……..of the decision.             

·                Trestle Court did not get their violation letters from the annual inspection.  Dawn-Lynn Crawford will re-mail them.

·                 The light at the corner of Hamilton and Stationhouse Ct, and the one on Ona still need to be repaired.

·                 It was brought up again that the trash was being put out too early.  It was discussed and decided that a flyer needs to be distributed to all homeowners.  Ms. April Scherer will bring a draft to the next meeting.

 

Reports from Committees

 

AECC – No report was given

 

·                The AECC committee is in the process of updating the home color chart for the community so it      will be current.  Mr. Sean Carey will put the color chart on a disk so that the colors will be available for download.

·                 All inspections have been mailed.  Cardinal Management will mail the violation letters for Trestle Ct again.

·                 On the violation letters, it should have stated that all violations must be completed within 60 days of the letter.  Each resident would then have a 30 day extension option from the original 60 days. 

·                The AECC will document on the existing color scheme for the clubhouse.

·                The AECC regulations review committee is meeting and plan to present a draft this fall at an association meeting.

 

Building & Grounds – Vacant

Action Items

 

·                It was mentioned by several people that the mats at the entrance to the pool/clubhouse smell.

·              The remaining cables above ground are Verizon phone cables.  Verizon is set to bury its cables the second week of July.

·              Cardinal will contact Springfield Nursery to remove leaves in the upper playground.  Also, they will contact them about cleaning out the sand and residue in the drain in the open flood plain area.  Finally, they will let Springfield Nursery to not blow grass and debris into any homeowners’ yard.

·              Cardinal has contacted Mark Trostle, the contact for the townhouse developer, about a downed tree near the common area.

·              Dominion Towing completed the painting of stop signs on the road surfaces.

·             The stop sign at Ona was loose and has been fixed.

·                  The tree behind 6915, which requires trimming, was discussed, and the poison ivy behind 6934.  Dawn-Lynn Crawford will notify Springfield Nurseries about this.  Additionally discussion was held about the request to have the trees on Hamilton removed.

·              Cardinal has contacted Dominion Paving numerous times to complete the job they were paid for since certain asphalt cracks were not filled from their job last year.   This issue is now closed.

·              The rail ties supporting the retaining wall and several fence posts in the common area are rotting near the Raceway development.  Hicks and Company estimated the cost to be around $50,000 to repair.  The Board requested other estimates and proposals.  Dawn-Lynn Crawford will have FEM Engineers assess the repairs for the wall.

·              The clubhouse door was replaced.  Some adjustments need to be made so the door will close properly.

·                 Carpenter bees are attacking the clubhouse and will need to be exterminated.  Cardinal will handle this.

·                 The annual pool party was held on Saturday the 21st of June.  Everyone had a great time! Laura Newberry suggested that we take whatever money is leftover from the party and use it to initiate some Community Game nights in the clubhouse.  Laura Newberry made a motion for this, and April Scherer seconded it.  All were in favor.

·              

Pool

Action Items

·              A monthly meeting will be held with continental pools to discuss any problems.

·              The lifeguards are doing a great job.

·                 Jay Aldridge is the new supervisor for the pool. 

·              The sink repairs are scheduled.  Dawn-Lynn Crawford will have Continental look into this.

 

New Townhouse Development Shannon’s Landing

·            Richmond America has sold all of the 32 units currently being constructed.  All have the same floor plan.  None have extended rooms on the back.  The cost is currently $322,000 per unit.

·                 Mr. Brandon Farlander brought up the point that the new townhouses are being built a lot higher than our townhouses are on Trestle Court.  He is very concerned that they will drain into the yards of all the houses on Trestle Ct. Ms. Dawn-Lynn Crawford will speak to Mark Trostle about the drainage concerns.

 

New Business and Other Items

·              Financial Report – nothing further

·              Resident Owners vs. Investor Units – Management Company reported that as of May 31, 2003 we had 28 investor units.

             ·                  Dawn-Lynn Crawford will be out of town July 21-25, 2003.  Patrick is the backup manager.

 

Adjournment

                The meeting was adjourned at 8:05 p.m.  The next meeting will be held on August 6th, 2003, 7:00 p.m. in the clubhouse.
