NEWBERRY STATION HOMEOWNERS ASSOCIATION
Board of Directors Meeting – September 3, 2003
**** BOARD MEETINGS ARE NOW HELD ON THE FIRST WEDNESDAY OF THE MONTH****
· The meeting was called at 7:02 p.m.
· Attendees: Laura Newberry, April Scherer, Tracey Murphy, Dawn-Lynn Crawford, Brandon Farlander and newly appointed member -Jane Brown.
· The August minutes were reviewed and corrections made – Ms. Tracey Murphy made the motion to approve the minutes. Ms. Laura Newberry seconded the motion and the Board approved by unanimous vote.
Open Forum
· The board is waiting for a proposal regarding several trees in the community which are either down or whose branches need attention.
· Waiting for proposal regarding stop sign on Ona and Hamilton that has branches hanging out in front of it.
· A homeowner would like the board to look at the possibility of joining Mount Vernon HOA. Homeowner will bring information about that organization at the October board meeting.
· Tree on Ona and Newington needs immediate attention. Branches are hanging on wires. Dawn Lynn will contact Dominion Electric.
· Dawn Lynn will find out if teenagers in our neighborhood can do snow removal for the HOA. NOT ROAD’S. Only sidewalks, near mailboxes and the pool road.

AECC – Second notices will be sent
out to homeowners regarding the annual AECC inspections.
Building & Grounds – Vacant
Action Items
· Verizon will be taking care of the remaining above ground cables soon.
· Waiting on proposal for downed tree in common area.
· It has been determinedthat the homeowner is responsible regarding tree behind 6915 that requires trimming.
· Cardinal met with FEA regarding railroad ties supporting the retaining wall near the raceway development. Currently waiting for proposal.
· Exterminator still has not come out to exterminate the carpenter bees at the clubhouse. Additionally, the retaining wall at the corner of Hamilton and Ona will be treated. Bee’s are in the rotting wood and a dog and several humans have been stung whilst walking by. Owner to be billed.
· Light’s still are not working near the clubhouse and on the walkway up to Trestle. Kolb electric will be out to take care of it.
· Trees behind 6905 need to be trimmed. Homeowner sent a certified letter to Dawn Lynn at Cardinal Management. To date, Dawn Lynn has not received a letter. Dawn Lynn will check with accounting department to see if letter was received.
· Need to have a tree assessment for all trees in common areas throughout the community.
Pool
Action Items
· Was water fountain repaired?
· Sinks in ladies and men’s bathrooms caulked only?
· Water fountain in pool area still not working.
· Why are we being charged for a water heater? Never approved by the board. Need more information.
New Townhouse Development
Shannon’s Landing
· As of September 3rd Cardinal Management have received a total of 69 proxies for the annexation of Newberry Station and the new development (Shannon’s Landing). Additionally, Brandon Farlander brought to the board meeting an additional 40 proxies.

We are currently waiting on an opinion from regarding the
possibility of water draining from the new development into the yards located at
Trestle Court.
