NEWBERRY STATION HOMEOWNERS ASSOCIATION
**** BOARD MEETINGS ARE NOW HELD ON THE FIRST WEDNESDAY OF THE MONTH****
· The meeting was called at 7:00 p.m.
· Attendees: April Scherer, Tracey Murphy, Dawn-Lynn Crawford, Brandon Farlander and Jane Brown.
· The March minutes were reviewed and corrections made – Mrs. April Scherer made the motion to approve the minutes. Mrs. Jane Brown seconded the motion and the Board approved by unanimous vote.
Open Forum
· An Ad for the community Yard Sale will be placed in the newspaper! Gather your items that you want to sell and have them ready for April 17th!
· Management has looked into the matter of a homeowner on Station House Court who is currently parking three vehicles in spaces in front of their home. It has been determined that a car parked in a parking space which is not that of the homeowners for a period of ten days or more is considered hoarding. If it is found that a homeowner within the community is in fact hoarding a parking space, they shall be sent a letter from Cardinal Management.
· In regards to individuals playing loud music in their cars up on Station House Court, a noise ordinance exists from 7am until 10pm. Should any homeowner feel the necessity, they should call the Fairfax County Police to log their complaint.
· The Board will look into what is the best action to take regarding the split rail fence up on the hill. If it is decided that the split rail fence is to be removed, the Board will look into using the split rails in other areas throughout the community where they are needed and look into storing the excess rails for future use.
· A flyer has been printed up and will go out with the next newsletter in regards to trash days and what is and is not considered recyclable.
· A homeowner has complained about noise coming from the new development late into the evening. Possibly washing of the streets? Dawn-Lynn to check with Mark Trostle of Richmond American Homes about this.
· There are still exposed phone lines and cables behind homes on Trestle Court. Dawn-Lynn to look into this immediately and find out why they haven’t been take care of to date.
· Homeowners inquired whether there will be a sign out front off of Newington for Newberry Station once the new development is completed. The Board and Management are working on this and will let you know of any developments as soon as we are made aware of them.
· Homeowners of the new development wondered if there might be a fence put up behind the last row of townhomes (near the woods). At this time, there are no plans to do so.
AECC
· AECC inspections were completed on April 6, 2004.
· Proposed AECC changes have been submitted to the AECC committee and the Board alike for review.To date, the AECC committee have not reviewed the proposed changes.
· A second letter has been sent to homeowners on Stationhouse Court regarding the tiled front steps and how the tile must be removed as it is in violation of the bylaws. Homeowner has been sent a second letter.
· AECC committee have noticed that some yards throughout the community have too many ornaments in their yard.
· It has been noted by the AECC committee that there are several homes within the community that are in need of painting as the color of their home is faded. These homeowners will be sent a letter separate from the annual inspections. Homeowners will be given a period of time determined by the members of the AECC to complete the required painting.
· Laura Newberry motioned, seconded by Jane Brown to give homeowners 60 days initially to complete the work on their homes. After the 60 days, if the work has not been completed or if the homeowner has not submitted their form indicating as such, the Board will request the homeowner to come to a hearing. At that time, the Board can inquire why the work has not been completed.
Building & Grounds
· The Board to review the samples of signs that can be placed throughout the community to announce community events (i.e. board meetings, leaf removal, etc.)
· It has been determined that a map needs to be made to determine which lights and signs need cleaning throughout the community.
· The Board will discuss the possibility of having benches along the field although it has been the opinion of a few that this might not be a good idea and the benches will be vandalized by young people within our community.
· Dawn-Lynn has provided the Board with catalogs of playground equipment. The Board will review what is available and determine if it is feasable to replace the current equipment.
· The following items need to be addressed with Springfield Nursery: the grounds behind 6920 is mucky and a mess to walk on. Board to look into possibly putting slate pavers or something which will make it easier to walk without sinking into the ground.
· Springfield Nursery to look at the willow stump in the common area and determine if it should be removed or not.
· Tree on the side of Janes home has lots of holes in it. What’s causing it?
· Meet with Springfield about several muddy areas in community.
· Remove Poison Ivy on fence on Hamilton Court.
· Drain behind 6920 Hamilton Court is not draining water and in fact the water is sitting causing a muddy mess.
· Dawn-Lynn to contact Virginia Dominion Electric to repair the light which is out at Newington and Ona.
· The Board has requested bids for sand removal for the streets throughout the community.
· Do you know of any Boyscouts or Girlscout troops who might be interested in cleaning upthe edge of the woods for community service? If so, please let us know.
· The Board would like to invite Mark Trostle of Richmond American Homes to the May 5th, Board meeting to discuss the new development.
· The Board is still waiting for bids to replace the retaining wall near the Raceway Development. This item is tabled until spring when weather permits other companies to inspect the retaining wall.
· Still waiting for additional bids for tree care throughout the community.
Pool
· To date, a note still needs to be put on the water heater unit under the kitchen sink in the clubhouse that reads, “please do not touch”.
· Although it is too late this year, the Board would like to discuss putting in concrete steps in the pool to allow the elderly and handicapped easier access to the pool. The steps would have a rail in the middle allowing for easier entry and exiting.
· Applications for pool passes will be sent out over the next few weeks. We will be introducing a guest pass for those individuals who would like to invite guests to the pool. The pass will cost $20.00 for 20 visits. When your card is finished, you may purchase another one from Cardinal Management. Please note: all homeowners will receive initially with their pool passes one guest pass at no charge.
· Pool repairs are currently underway and ongoing.
· Dawn-Lynn to bring vacume to the clubhouse as ours is no longer working.
· Coke machine has been removed. New vending machines are in the works and should be delivered prior to the opening of the pool.
· The clubhouse is currently undergoing renovations for the upcoming pool season. The Board have decided in order to save money for the communtiy, they would volunteer their time to paint and do whatever necessary to bring the clubhouse up to better standards.
· Lights in party room at clubhouse are out and need replacing.
· There will be a new clause added to the clubhouse rental agreement immediately. Any homeowner renting the clubhouse must return the keys within a 48 hour period. Failing to do so will result in a charge of $25.00 for the first day followed by a charge of $5.00 per day until the key is returned. There will be no exceptions.
· Dawn-Lynn to obtain bids to repair shower heads and other items that need attention in the clubhouse bathrooms ASAP.
· Upon inspecting the clubhouse and pool facilities, it was noticed that the new lifeguard umbrella is bent. Board members to speak to Continental Pools regarding this issue.
New Townhouse Development Shannon’s Landing
· As the new development makes its way towards completion, homeowners will be notified with any changes as soon as we are made aware of them.
· All townhomes in the new development are sold.
· For all those who are interested, the road in the new development will be named, Shannons Landing Way.

A summer party is planned for the children of our community on June 18th at the pool. There will be a small charge of $1.00 per person to help cover the cost of food and drinks. Would you like to volunteer to help out with the activities? Do you have any ideas or suggestions on how we can make this special day even more special for a bunch of wonderful young people? Contact any Board member or management if you can help out or have some ideas for this special day.
