NEWBERRY STATION HOMEOWNERS ASSOCIATION
**** BOARD MEETINGS ARE NOW HELD ON THE FIRST WEDNESDAY OF THE MONTH****
· The meeting was called at 7:08 p.m.
· Attendees: Laura Newberry, April Scherer, Dawn-Lynn Crawford, and Brandon Farlander.
· The January minutes were reviewed and corrections made – Mrs. Laura Newberry made the motion to approve the minutes. Mrs. April Scherer seconded the motion and the Board approved by unanimous vote.
Open Forum
· A homeowner asked what was being done about homeowners that are not shoveling their sidewalks. The board informed them that they are being sent notices when the shoveling is not done.
· A homeowner asked if the shrubs that were torn out to put in the curb for the new townhouses would be replaced. Richmond American Homes is supposed to replace all items that were removed during construction. Dawn-Lynn will check with Mark Trostle.
· A homeowner brought to the board’s attention that the drainage ditch in question between our existing development and the new townhouses is completely iced over. There is so much ice there that it exemplifies the fact that there is a drainage problem. Kathy Oktavec will take pictures and email them to Dawn-Lynn.
· A homeowner asked why were trees marked in the wooded area next to the pool road. The board told them that it had to do with the tree care proposal that was submitted to the board.
· A homeowner asked if the association would take the responsibility for shoveling of sidewalks in the common areas.
· A homeowner asked if we could recommend types of ice melt compounds in the newsletter in an effort to prevent sidewalk damage.
AECC
· AECC Inspections will begin on April 1st.
Building & Grounds
· There are two more pick-up days for leaves throughout the community to be cleaned up by Springfield Nursery. Homeowners will be notified when we have a pick up date.
· A homeowner has requested that the Board look into obtaining signs to place in the community to announce community events (i.e. board meetings, leaf removal, etc.)
· A homeowner has requested that the Board look into cleaning up the lamp post and stop signs throughout the community as they have years of abuse from personal signs being hung on them, graffitti, and the elements.
· The Board welcomes ideas on how young people within our community can be compensated for shoveling snow (should it be needed) with prior approval from the Board.
Action Items
· The Board asked Dawn-Lynn to include in her newsletter that it is unsafe for kids to walk on the pool cover.
· The Board asked Dawn-Lynn to find out how many of the homes in Shannon’s Landing were currently sold.
· The Board currently has an assessment for the culvert from FEA. The Board is waiting for management, and the representatives from FEA and RA Homes to meet and discuss options.
· The Board is still waiting for additional estimates to replace the retaining wall near the Raceway Development. This item is tabled until spring when weather permits other companies to inspect the retaining wall.
· Bids for tree care were received from two companies. One was very extensive, the other was not. The board will individually look at the recommendations for each tree individually and make assessments. The management company will ask for additional bids from other companies.
· Cable behind 6921 Trestle Court is still not buried. Dawn-Lynn to call Verizon. Additionally, a cable is exposed at 8216 Stationhouse Court. This item is tabled until weather permits burial of cables.
· The Board requests from management further clarification on the charges from Springfield Nursery to the association in the amount of $275.00 on 10/22/03. Although Springfield Nursery claims this was a cleanup item after hurricane Isabel, this item was not given prior approval by the Board. Springfield Nursery has not responded to this request. Dawn-Lynn will inform them that we will withhold this from next month’s payment if this is not resolved by then.
· The Board will look into cleaning the edge of the woods and other areas within the community in the Spring. Be on the look out for another announcement of a community clean-up day.
· A home owner has brought to the Boards attention the condition of a flowerbed located behind Trestle Court. It seems that after Richmond American Homes did some work on hooking up the sewer lines, they did not return the flower bed in question to its original state. Management will contact Richmond American home and look into this.
· Management will contact Richmond American Homes regarding a pine tree in the common area that was damaged by workers and now appears dead.
· A light on the corner of of Ona and Newington is out, Dawn-Lynn will contact Dominion Electric. A light is also out in front of 8200 Stationhouse Ct. April will contact Dominion Electric for a work order number.
· For the time being, the willow stump in the common area will remain until the end of the summer in order to see if it will rejuvenate. Should it not rejuvenate, the Board will look into having it removed.
· The Community Yard Sale will be scheduled for a date in April. Laura will contact Dawn-Lynn with the date.
Pool
· The busted lock on the gate to the pool will be replaced on February 5, 2004 by Dawn-Lynn.
· Dawn-Lynn brought two bids from pool companies for pool repairs. One from Continental and one from Winkler. Laura made a motion to approve the bid from Winkler, April seconded it. A vote was taken and was approved unanimously. Pool repairs will be done for $8,921.50.
· Dawn-Lynn brought three bids from pool companies for pool management. The board requested that Dawn-Lynn cancel the contract with Continental Pools. The Board also requested that Dawn-Lynn ask Winkler and Palm Pools if there would be any reduction in rates if we did two or three year extended contracts.
New Townhouse
Development Shannon’s Landing
· Newberry Station and the new development (Shannon’s Landing) will be annexing. Contracts are with the attorneys at this time and homeowners will be informed as to what is happening as soon as we know of any changes.
·
Dawn-Lynn will call the attorney to see if we need everything in
writing that Richmond American Homes has said they will do for us.
