Board of Directors Meeting –July 7, 2004

 

**** BOARD MEETINGS ARE NOW HELD ON THE FIRST WEDNESDAY OF THE MONTH****

 

·        The meeting was called at 7:02 p.m.

·        Attendees: Laura Newberry, April Scherer, Purvis Dawson, Dawn-Lynn Crawford, and Brandon Farlander.

·        The June minutes were reviewed and corrections made – Laura Newberry made the motion to approve the minutes. Purvis Dawson seconded the motion and the Board approved by unanimous vote.

 

 

 

 

Open Forum

 

·        Cindy – from Springfield Nurseries – was here to address questions and concerns.

·        Laura addressed the concern that the ground crew tends to blow all the debris after cutting into everyone’s yards.

·        Laura also asked if we could have at least a week’s notice before leaf cleanup so we could notify the community.

·        The new section of townhouses was discussed.  We will have a walkthrough in August to discuss the addition of the new areas.

·        A homeowner requested the Board look into having the lines on the pavement at the STOP signs throughout the community painted.  Purvis Dawson again addressed the issue of some of our STOP signs being too short.

·        A homeowner brought to our attention that Mulheron trimmed a tree on private property, and the common area tree between 6910 and 6912 Trestle Ct still needs to be trimmed.

·        A Homeowner asked when the mud hole in the field would be filled, and when would the willow tree be taken care of.

·        Homeowner asked who would be cleaning the gates that were put in front of the drainage culverts, and would they be painted since they are rusting.

·        A homeowner asked what the criteria for trimming trees was.  A walkthrough will take place to determine this.

·        A homeowner asked what was happening with the Verizon telephone wires.  Dawn-Lynn said the issue has been turned over to the Commissioner of Verizon.

·        A homeowner informed us that there are dead trees and erosion at the base of a light pole at the end of Trestle Ct. (Near Jane’s house)

·        A homeowner asked if the brick wall at the bus stop would be repaired since the first repair was unsatisfactory.  

·        A homeowner informed us that the grade of the land between the new townhouses and the existing townhouses on Trestle Ct has changed from what they originally were told it would look like.

 

AECC

 

·        Proposed AECC changes have been submitted to the AECC committee and the Board alike for review. The Board has requested the AECC to give their comments on the proposed changes no later than the August Board meeting.

o       It was noted that we need to add a provision concerning the care and repair of railroad ties in the community.

·         It has been noted by the AECC committee that there are several homes within the community that are in need of painting as the color of the siding is faded. These homeowners will be sent a letter separate from the annual inspections. Homeowners will be given a period of time determined by the members of the AECC to complete the required painting.

·        The AECC committee has received the siding and trim colors of the new community.

·        The new development will put in place only the sides of a fence for each town home thus leaving the back of the yard open. Homeowners in the new development are required by the by-laws to enclose the back yard with a fence. Homeowners will have a period of one year from the date of closing to complete the task.

·        Letters will go out to homeowners that have not returned their forms from the annual inspection.  They will be required to return it by July 30, 2004 to avoid a hearing.  If they do not return them by July 30, 2004; a certified letter will be sent on August 2, 2004.

·        Hearings will be held at 6:00 PM before the August 4, 2004 meeting.

 

Building & Grounds

 

·        The Board needs more time to review the samples of signs that can be placed throughout the community to announce community events (i.e. board meetings, leaf removal, etc.)

·        Since the first repair to the brick wall was unsatisfactory, the wall will be repaired again and the metal bar will be removed.

·        Although it has not been done to date, it has been determined that a map needs to be made to determine which lights and signs need cleaning throughout the community. If a homeowner has the time to do this, please step up and let the Board know. We do try our best but we can’t do it all.

·        Mrs. Suzy Burnside of Hamilton Court will be forming a committee to look into playground equipment and their costs for the tot lots within our community. If you would be interested in joining the committee or think you can help out in any way, please contact any Board member.

·        Management to obtain price for a willow tree from Mulheron.

·        Mulheron Tree Services have removed the tree in the common area on the side of Jane’s home. Board to look into replacing tree as soon as possible.

·        Virginia Contracting have placed covers on the drain culverts in the open field.

·        The repairs to the grounds behind 6920 Hamilton Court are ongoing.

·        It appears that the light at Newington and Ona has been repaired.  We will keep an eye on it to make sure that it continues to work.

·        The Board is still waiting on bids to clean up the edge of the woods.  Management will get bids for this.

·        Dawn-Lynn said that the phone line issue of burying cables has been sent to the Commissioner of Verizon.  Hopefully something will be done.

 

 

 

 

Action Items

 

·        The Board is still waiting for bids to replace the retaining wall near the Raceway Development.   Management will ask for bids to repair it instead of replacing it.

·        Mark Trostle of Richmond American Homes came to the June Board meeting. The following are questions some homeowners had:

1.      Will there be a walkway to the pool from the new community? Yes.

2.      Will there be a fence behind the new community to separate the woods? No.

 

 

·        The Board has determined that the fence between the properties on Hamilton (near the bus stop) be tabled until all new homeowners have moved into their properties. The Board would like the opinions of all homeowners directly affected as to whether they would like to see the fence remain or, be removed.  Some people brought up that it might need to be removed so that people can put up their fences.

·        A walk through with Mulheron Tree Services will take place soon to determine the criteria for trimming.

·        As to questions from homeowners regarding whether there will be a sign out in front of the community “Newberry Station” once the new development is completed, management and the Board are working on it and will let homeowners know of any developments as soon as we are made aware of them.

·        Homeowner has requested management look into the end parking space on Trestle as it is starting to erode. Dawn-Lynn to look in this.

 

Pool

 

·        The cabinets and the hot water heater in the clubhouse have been replaced.  

·        Although it is too late this year, the Board would like to discuss putting in concrete steps in the pool to allow the elderly and handicapped easier access to the pool. The steps would have a rail in the middle allowing for easier entry and exiting.

·        2 Lights in party room at clubhouse are out and need replacing.

·        All concerns regarding the lifeguards will be forwarded to Matt Martin of Continental Pools.

·        Management will bring security cameras to be installed in and around the pool. Any individual caught vandalizing the clubhouse or pool will be prosecuted.

·        A new clock is now at the pool.

·        A welcome package to new homeowners is to include temporary pool passes.  Management will now send welcome letters and temporary pool passes to resales.

 

 

 

 

 

New Townhouse Development Shannon’s Landing

 

·        As you may have already noticed, several new homeowners have already moved into their new town homes. Lets welcome our new neighbors into the community!

·        Richmond American Homes to mark property to show where trees are to be planted. Once this is done, RAH to notify Cardinal Management who will in turn notify the Board.

 

        

New business and Other Items

 

·        Because of the resignation of Tracey Murphy, a member needed to be appointed.  One person stepped forward at the July meeting – Jane Brown.  The board appointed Jane Brown to fill the empty position for one year.

 

·        The board also agreed on positions for the coming year.  They are as follows:

                                    Vice-President – Purvis Dawson

                                    Secretary – April Scherer

                                    Treasurer – Brandon Farlander

                                    Member-at-Large – Jane Brown
