NEWBERRY STATION HOMEOWNERS ASSOCIATION
**** BOARD MEETINGS ARE NOW HELD ON THE FIRST WEDNESDAY OF THE MONTH****
· The meeting was called at 7:02 p.m.
· Attendees: April Scherer, Tracey Murphy, Dawn-Lynn Crawford, Brandon Farlander and Jane Brown.
· The May minutes were reviewed and corrections made – Mrs. Jane Brown made the motion to approve the minutes. Mrs. April Scherer seconded the motion and the Board approved by unanimous vote.
Open Forum
· Newsletters will be mailed out to homeowners by Friday, June 4, 2004.
· Mulheron Tree Services will trim the tree in the common area in front of 6934 Hamilton Court.
· Homeowner requested the Board look into having the STOP signs on the pavement throughout the community painted.
· A homeowner asked if homeowners could trim trees in the common areas. The answer to this question is “yes”, if branches are hanging over your car, etc.
· A homeowner requested the Board look into updating the tot lots within the community.
· Homeowners are still putting trash out too early!
· There have been several complaints of children riding their bikes throughout the community scratching homeowner’s cars or riding in an unsafe manner.
· A homeowner requested made a request for soccer goals in the open field near the pool.
AECC
· Proposed AECC changes have been submitted to the AECC committee and the Board alike for review. The Board has requested the AECC to give their comments on the proposed changes no later than the August Board meeting.
· It has been noted by the AECC committee that there are several homes within the community that are in need of painting as the color of the siding is faded. These homeowners will be sent a letter separate from the annual inspections. Homeowners will be given a period of time determined by the members of the AECC to complete the required painting.
· The AECC committee still has not received to date the siding and trim colors of the new community. Dawn-Lynn to keep the Board up to date on this.
· The new development will put in place only the sides of a fence for each town home thus leaving the back of the yard open. Homeowners in the new development are required by the by-laws to enclose the back yard with a fence. Homeowners will have a period of one year from the date of closing to complete the task.
Building & Grounds
· The Board needs more time to review the samples of signs that can be placed throughout the community to announce community events (i.e. board meetings, leaf removal, etc.)
· Mrs. April Scherer made the motion to repair the brick wall by the bus stop. Mr. Brandon Farlander seconded the motion and the Board approved by unanimous vote.
· Although it has not been done to date, it has been determined that a map needs to be made to determine which lights and signs need cleaning throughout the community. If a homeowner has the time to do this, please step up and let the Board know. We do try our best but we can’t do it all.
· The Board will discuss the possibility of having benches along the field with homeowners at the Annual Board meeting held on June 16, 2004.
· Mrs. Suzy Burnside of Hamilton Court will be forming a committee to look into playground equipment and their costs for the tot lots within our community. If you would be interested in joining the committee or think you can help out in any way, please contact any Board member.
· Management to obtain price for a willow tree in addition to homeowner who offered to check the cost as well.
· Mulheron Tree Services have removed the tree in the common area on the side of Jane’s home. Board to look into replacing tree as soon as possible.
· Virginia Contracting have placed covers on the drain culverts in the open field. Laura Newberry made the motion to regrade the grounds behind 6920 Hamilton Court and reseed several muddy areas within the community. Jane Brown seconded the motion and the Board approved by unanimous vote.
· Dawn-Lynn still trying to get Virginia Dominion Electric to repair the light that is out at Newington and Ona. The Board requested Dawn-Lynn to contact the Fairfax Consumer Division regarding Virginia Dominions inability to repair a light that has been out for over several months.
· The Board is still waiting on bids to clean up the edge of the woods.
· Dawn-Lynn has contacted the Fairfax Consumer Division regarding the exposed phone lines behind homes on Trestle Court and throughout the community. It seems that the folks at Verizon still haven’t gotten around to burying the cables even after many a phone call by management.
· A homeowner requested what is being done about the stump in the field. Homeowner would like to see another willow tree in its place and will get price on a new willow tree and present it to management.
Action Items
· The Board is still waiting for bids to replace the retaining wall near the Raceway Development.
· Mark Trostle of Richmond American Homes came to the June Board meeting. The following are questions some homeowners had:
1. Will there be a walkway to the pool from the new community? The Board is currently discussing this issue with RAH with the help of Cardinal Management. Homeowners will be informed when there is a definite answer on the matter.
2. Will there be a fence behind the new community to separate the woods? No.
· The Board has requested a meeting with Cindi at Springfield Nursery at the July Board meeting to discuss their services.
· The Board has determined that the fence between the properties on Hamilton (near the bus stop) be tabled until all new homeowners have moved into their properties. The Board would like the opinions of all homeowners directly affected as to whether they would like to see the fence remain or, be removed.
· Work has begun and Mulheron Tree Services are nearly finished removing and trimming several trees throughout the community.
· As to questions from homeowners regarding whether there will be a sign out in front of the community “Newberry Station” once the new development is completed, management and the Board are working on it and will let homeowners know of any developments as soon as we are made aware of them.
· The Board voted via e-mail to introduce a raffle into this years Annual Board Meeting. The raffle prizes will be $50.00 for homeowners who send in their proxy and $100.00 for homeowners who attend the Board Meeting. There will be one raffle ticket per household allowed.
· Homeowner has requested management look into the end parking space on Trestle as it is starting to erode. Dawn-Lynn to look in this.
Pool
· Although it is too late this year, the Board would like to discuss putting in concrete steps in the pool to allow the elderly and handicapped easier access to the pool. The steps would have a rail in the middle allowing for easier entry and exiting.
· 2 Lights in party room at clubhouse are out and need replacing.
· All concerns regarding the lifeguards will be forwarded to Matt Martin of Continental Pools.
· The Board will be looking into installing security cameras in and around the pool area due to vandalism. Any individual caught vandalizing the clubhouse or pool will be prosecuted.
· A clock is needed at the pool.
· A welcome package to new homeowners is to include temporary pool passes.
New Townhouse
Development Shannon’s Landing
· As you may have already noticed, several new homeowners have already moved into their new town homes. Lets welcome our new neighbors into the community!
· Richmond American Homes to mark property to show where trees are to be planted. Once this is done, RAH to notify Cardinal Management who will in turn notify the Board.

A summer party is planned for the children of our community on June 18th at the pool. There will be a small charge of $1.00 per person to help cover the cost of food and drinks. Would you like to volunteer to help out with the activities? Do you have any ideas or suggestions on how we can make this special day even more special for a bunch of wonderful young people? Contact any Board member or management if you can help out or have some ideas for this special day. Volunteers greatly appreciated!

Homeowners, this Board is committed to hearing each and every homeowner that lives in Newberry Station. If you have an idea, complaint, comment, suggestion or simply would like to meet other homeowners in your community, why not come to the Annual Board Meeting on June 16th at 7:00 pm? I have met more people in this community that tell me they never come to the meetings because they feel that their voice is never heard. The current Board is in every way committed to making a difference whilst serving Newberry Station homeowners. We are committed to listening to everyones voices.
