ANNUAL MEETING

June 8th, 2005

 

  1. Roll Call and Certification of Proxies

Board Members in Attendance: Laura Newberry, Purvis Dawson, Brandon Farlander, Jane Brown and April Scherer. 

Quorum and Call to Order: Noting that all proxies had been certified, and that a quorum was present, Laura Newberry called the meeting to order at 7:32. 

  1. Proof of Notice of Meeting  

A mailing specifying time and place of the annual meeting, with an attached proxy sheet, was mailed to all Newberry Station Association members on May 15, 2005. 

  1. Reading and Disposal of Minutes of Previous Meeting  

Copies of the minutes of the previous Annual Meeting on June 16th, 2004 were made available to all in attendance. Mr. Chris Liberty moved that the Board dispense with the reading of the previous year’s minutes and to have elections. Mr. John Octavic seconded the motion, which the Homeowners unanimously approved.  

  1. Report and Comments from Board Members  

President: Laura Newberry thanked everyone for coming.  She announced that there were sign up sheets for the following committees: Buildings and Grounds; AECC; Pool; Playgrounds; and a Welcoming Committee.  She also addressed the following issues:

 Vandalism:  There has been a lot of vandalism lately.  She asked that each member of the community police their children and keep your eyes open for others.  Every time something is vandalized and has to be repaired, that increases the possibility of a raise in homeowner fees. 

Trash:  Ona is being resurfaced over the next few days.  Please don’t put your trash out on Thursday night, as the trash truck will probably not be able to use the road for that day.

Inspections: We are projecting that inspections will be completed and mailed out by the end of June.  We will send reminders out at the end of July, or at the 30 day point after original inspections have been sent.  If there has been no contact during the 60 day period, we will be harsh during hearings.

Pool Party:  There will be a community pool party on June 24th at 2:00.  A police helicopter will be landing for all to see.

Vice-PresidentPurvis Dawson told everyone that the fire in the woods off of Ona was currently an arson investigation.  He reminded everyone to help police the neighborhood.

Treasurer: Brandon Farlander had nothing to add at this time. 

Secretary:  April Scherer had nothing to add at this time. 

Member-at-Large: Jane Brown had nothing to add at this time. 

 

  1. Unfinished Business Cardinal and the board continue to work with Richmond American Homes to complete all unfinished business involving the new townhouses.

 

New Business Our roads will be resurfaced sometime after July 7th.  Management will send a letter to all homeowners as to the exact time, and when cars will have to be moved.

 

     Open Forum

    1. New minutes need to be posted on the bulletin board.  Cardinal put a lock on the bulletin board and now we don’t know the combination.  Can Cardinal replace the lock so we can use the bulletin board?
    2. Pool Company – Many people were not happy with this pool company.  There is mud on the deck of the pool.  Also, lifeguards on duty disappear.  Please emphasize the lifeguard duties to the lifeguards.  Laura Newberry asked everyone to please contact the board or management immediately if they notice any unacceptable behavior from the lifeguards. A spigot in the pool was broken and will be replaced.
    3. Some people complained that the management company is not responsive on a lot of issues.  Many people have trouble getting in touch with them after leaving messages at the company.
    4. Many people felt the notices went out later than was acceptable for the annual meeting.
    5. A homeowner asked if the landscaping contract included a spring cleanup.  They had noticed lots of sand left over from snow removal that needed to be cleaned up.
    6. A homeowner asked when we would be replacing the grate on the culvert in the field.
    7. Kevin Brugman thanked the board for all its hard work this year.
    8. Some homeowners asked that we remove part or the entire fence along Hamilton Ct as you enter the community.  It tends to separate the old part of the community from the new part of the community.  It also collects trash and the vegetation around it is mostly poison ivy and is not very neatly kept up.  This area drains to Newington Road.  Landscaping this area will need to be looked at.
    9. A homeowner said it might be possible that their restaurant would be interested in providing food and beverages for the party. 
    10. A homeowner asked how they could get streetlights on Shannon’s Landing Way.
    11. A homeowner asked what the Homeowners Association fee covers.  Street repairs and upkeep; Trash pickup; Snow removal; Grounds maintenance; Landscape maintenance; and Pool membership were replies provided by the members and board members.
    12. A homeowner asked about the dead trees on the new property. 
    13. Kevin Brugman spoke up about issues concerning the new townhouses.  For problems within the new development, we need to call Gerry Highland’s office to complain.  Marsha Hanson is the person to talk to.
    14. A homeowner asked why there were orange stakes in the field.  Purvis Dawson said he saw people surveying the area.  He said there is a proposal to widen Newington Road and it could have to do with that.
    15. A homeowner said that we have a new carrier for the Washington Post.  They haven’t been very good about getting papers onto your property.  Please call the Washington Post if you have problems.
    16. A homeowner asked if al the common area railings had been repaired and painted.
    17. A homeowner asked when the drainage issue behind 6920 Hamilton Ct would be completed.
    18. A homeowner said that there were still wires exposed on upper Stationhouse Ct.

 

The Board will look into each and every complaint or request noted in the open forum.

 

      Election or appointment of inspectors of election

There were no inspectors of election appointed.  There were two board positions available, and two people volunteered to run for the board.    

 

  1. Election of Three (3) Directors:  

·                                 The Association had two(2) nominations for the Board of Directors:  Mr. Mark Sajbel and Mrs. Jane Brown.    Kevin Brugman made a motion that we accept Mark Sajbel and Jane Brown by acclamation, and Chris Liberty seconded the motion.  The motion passed unanimously.

·                                 The new Board will be the following: Laura Newberry, Brandon Farlander, Purvis Dawson, and Jane Brown and Mark Sajbel.

Door Prizes

Mr. Lars Sweigart of Trestle Court was the winner of the $100.00 cash prize for the attending homeowners drawing.  Mr. Ben Ong of Shannon’s Landing Way won the $50.00 prize from the proxy drawing. Congratulations!
