BOARD OF DIRECTORS MEETING
January 5, 2005
** BOARD MEETINGS ARE
HELD ON THE FIRST WEDNESDAY OF THE MONTH**
I. Call to Order
A. The meeting was called to order at 7:05 p.m.
B. Attendees: Laura Newberry, Purvis Dawson, Brandon Farlander, April Scherer,
Jane Brown, Darryl Payne and our new management agent Beth Cousino.
C. The December minutes were reviewed and a motion was made by Laura Newberry to
accept them as written. Brandon Farlander seconded the motion and the motion
carried unanimously.
II. AECC
A. A discussion of the status of the updated AECC regulations took place. Work
will continue on these. A copy will be emailed to the Management Company.
B. It was brought to the board’s attention that we need to be mindful of the
width of window trim.
C. The results of the window survey were released. Of the 79 ballots returned,
59 were in favor of allowing white as a window trim and 20 were against.
III. Building &
Grounds
A.
Trees
1.
Trees need to be assessed this year for ones in danger of falling.
2. The
stump behind 6907 Hamilton Ct needs to be removed. It’s becoming a garbage can.
B.
Repairs
1.
The grate over the drain in the field has been pulled off and needs to be
repaired.
2.
The light in front of 6921 Trestle Ct
needs to be repaired. This light belongs to us. Management has arranged
this repair. Parts are on order.
3.
Management will obtain bids on replacing the asphalt in the neighborhood to
include the end parking space in front of 6918 Trestle Ct.
C.
Landscaping
1.
The area behind the grates needs to be
cleaned.
D.
Miscellaneous
1. The
gutters on the clubhouse need cleaning.
2. A
homeowner said that there is water seeping out of the road at the corner of
Hamilton Ct and Trestle Ct. This is where there was a leak previously. Purvis
will call Fairfax County Water Authority again about this.
3.
Management will look into the problem of exposed Verizon wires, but will need
some addresses of the areas where it is a problem. The board will map out the
areas where wires are exposed.
IV. Pool
A. Management will get bids from pool companies so that we can choose a pool
company for the coming season.
B. Management will get bids for the cost of a new pool cover.
V. New Townhouse Development Shannon’s
Landing
A. Richmond American Homes (RAH) Concerns and Issues
1.
Susan Finken is now the POC. Management is pursuing issues with her.
2.
There is a Verizon box with no lock on it between Shannon’s Landing Way and the
flood plain.
3. The
pine trees between the new houses and existing houses on Trestle Ct need to be
moved.
4. We
need to make an effort to contact all homeowners with another welcome letter.
5.
There is dead grass in the new part of the community and needs to be replaced.
6. RAH
has removed some of the trees and replanted them on the other side of the
property line, but now some of them are on people’s property or in front of
areas that should be their gate.
7. The
drainage from the new development is still a problem. The runoff from the new
houses to the existing house’s yards is getting worse. The water now meanders
between the yards like a river.
8. For
people that have concerns about the property inside and outside their houses
please contact RAH and cc management and the county.
9. For
people that have concerns about lighting in the new development, please contact
management and Gerry Highland.
10.
Signs need to be placed around the storm retention pond in the new section of
the community.
11.
The board has decided that the path from the new community will be placed next
to 6920 Trestle Ct.
12.
Trees have been marked for removal that have caused problems for people exiting
the community.
VI. Open Forum
A. It was suggested that we should post our budget on the website.
B. The clubhouse light at the top of the chimney is out and there is a noodle on
the top of the building.
VII. Tabled Items
A. All community split rail fences.
B. Community sign.
C. Community reseeding.
D. The railing in the large playground, behind 6920 Hamilton Ct, needs to be
painted.
E. Areas under the swings needs landscaping.
F. Bids for repairing wall between us and Raceway Farms.
G. The repairs to the grounds behind 6920 Hamilton Ct are ongoing. This has
been shoddy repair work. Management has walked the area and will address the
contractor in the spring.
H. STOP and Children at Play needs to be painted on the roads.
