** BOARD MEETINGS ARE NOW HELD ON THE FIRST WEDNESDAY OF THE MONTH**
Board Assistance Requested: Cardinal Mgmt sent letters to the parents of three minors who have police records of incidents on Newberry Station property. The letters request that the minors not trespass on the property. The homeowner requesting this action was notified.
A. Split Rail Fence Removal: Mark moved to accept a proposal by Springfield Nursery to remove split rail fence running parallel to Hamilton Ct, Brandon seconded, and the motion passed by unanimous consent. Jane accepted the proposal in writing.
B. Mulch for Tot Lots: Brandon moved to approve proposal by Professional Grounds to put 4” of wood chips in both tot lots, Mark seconded, and the motion passed by unanimous consent. Jane signed the proposal acceptance.
C. Vacuum Cleaner: Beth will obtain a new vacuum for use in the clubhouse.
D. Grounds Cleanup: Professional Grounds completed the grounds cleanup.
E. Letter to Shannons Landing: Beth sent out letter to Shannons Landing residents stating that Richmond American Homes will soon be released from bond. She got two responses.
F. Trees by Pool Road (Ainsley Ct): Beth will see if she can find out which company did extensive pruning two years ago so that same company can give us an assessment of stability of large pines on the side of the pool road.
G. Sidewalk Repairs: With the warmer weather, Brothers Paving will commence sidewalk repairs for the job previously approved by the Board by Ona and Hamilton Ct.
H. Turf Repairs: Proposals by Professional Grounds to do four turf repair/landscaping jobs were tabled until Board can determine how to water and care for the plantings; i.e., volunteer homeowner watering or additional expenditure for contractor care. These items came up as a result of the walk-thru Jane conducted with Professional Grounds, the new landscaping company.
A. Handrail attached to House: A wrought-iron railing was put in that is no longer attached to house.
B. AECC Guidelines: Beth gave everyone another copy of the draft guidelines rewritten in 2004. The portion about allowing white trim around window frame needs to be incorporated. Of special concern will be changes that need to be made to accommodate the Shannons Landing townhouses. The Board will seek input from AECC Committee before making changes to existing guidelines.
C. Deck Half Painted: Beth spoke with homeowners, who said they will paint remaining portion some time in March.
A. Pool Management Company: Brandon moved to accept the Winkler Pool Management, Inc. proposal to staff and maintain the pool for the period of one year, Mark seconded, and the motion passed by unanimous consent. Jane signed the acceptance of the proposal. The company should have NO access to the clubhouse, but may bring their own small fridge for use during the day.
B. Doors for Pool Bathrooms: Mark moved to accept the Precision Doors and Hardware, Inc. proposal to install two doors to the pool rooms, Brandon seconded, and the motion passed by unanimous consent. Jane accepted the proposal by signature. The company should key the lock on both sides to prevent someone from being able to dead-bolt the door from the inside.
C. Pool Stairs: Beth is soliciting bids for a stairway in the shallow end of the pool.

1. New Contract and Proposals: Notify Winkler, Precision, Professional Grounds, and Springfield Nursery of acceptance of proposals.
2. Trees by Pool Road (Ainsley Ct): Get a hold of company who’s done tree work in community to look at stability of big pines and provide recommendations.
3. Vacuum: Get one for the clubhouse.
4. Draft Guidelines: Ensure that AECC Committee members have copies for review.
5. Sidewalk Repairs: Follow up with Brothers Paving to get a start date.
6. Letter to Marcia Hanson: Inform Board of progress made on completing requested items in Shannons Landing.
7. Pool Stairs: Get bids
